In GCcollab, you can upload a different types of  of content   including photos, documents, audio files, videos, PDFs and more. This can be done within a group or made available GCcollab-wide.


 

 


To ensure a smooth upload of your files to GCcollab, it is recommended that you do not exceed 10 uploads at a time.
 

 


Where to find your files in GCcollab

 

Personal files

 

Start on the home page of GCcollab. Click on your profile icon that is located on the top right corner of the page. This will reveal a drop-down menu. Click My Profile



Click on the Files tab and you will find files that you have shared on GCcollab. 



Where to find files uploaded in a Group

 

Go to your Group's main page. 

 

Click on Files.



Creating File folders


You may wish to create folders or subfolders to organize the files you upload.

 

You can do so in a group or within GCcollab as a whole. Go to your profile or group and select the Files tab. 



 Click on New file folder.


A window will pop up where you are to provide the following information:







  • Title: the name of the folder that you are creating
  • Description: a general description of the content in the folder
  • Select a parent folder: Select the folder location. It will be Main folder by default but you may be able to choose another folder.
  • Access: the folder access settings.

 

Click Save. Now your folder is created.

 

Uploading a file

 

Go to your GCcollab profile. 

 

Select the Files tab.

 

Click on the Upload a file button.



Select between:

  • Single file to upload one file. 
  • Multi file to upload several files at once.
  • Zip file to upload a zipped file.
  • Google Docs file to upload a file from Google Docs. 


Click Choose File to locate the file. Find the file from your computer or shared drive. 


Enter the Title.

 

Enter the Description of the file.

 

Enter Tags. These are optional but highly encouraged.

 

Select a parent folder or use the default. This is where the file will be found.

 

Set Access.

 

Click Upload.

 

Now your file has been uploaded in the folder specified. 

 

 

Uploading Files in a Group

 

Start on the main page of the group that you wish to post files in. 

 

Click on the Files tab. 





Click on the Upload a file button.

 

 Select between:

  • Single file to upload one file. 
  • Multi file to upload several files at once.
  • Zip file to upload a zipped file.
  • Google Doc to upload a file from Google Docs.

 

Click Choose File to locate the file.

 

Enter the Title.

 

Enter the Description of the file.

 

Enter Tags. These are optional but highly encouraged as tags can add context to your post. (For example, if your post has to do with OneGC you can tag #gccollab #ONEGC). 

 

Select a parent folder or use the default. This is where the file will be found.

 

 


Set Access. (See below for information on the access settings.)




Click Publish

 

Now your file has been uploaded in the folder specified, group members (and others, depending on your access settings) may now view these files.

 


Access Settings

 

You can set the access you need for the files you upload; this can be distinct from the settings for the group itself.

 

  • Users logged in: This is selected by default.  This setting will allow anyone on GCcollab to open and view the file, whether or not they are a member of the group.
  • Only me: Only you can see this file on GCcollab. 
  • Group: The file can only be viewed by members of the group.
  • My colleagues: This will allow your GCcollab colleagues to see all the files you have uploaded to GCcollab.

 

 

Uploading a video

 

Uploading a video file on GCcollab uses the exact same steps as uploading a regular file, however it is important to note that the size of the video to be uploaded should not exceed 1GB. While GCcollab does not have video player functionality, users can upload video file types.

 

Accepted file formats:: txt, jpg, jpeg, png, bmp, gif, pdf, doc, docx, xls, xlsx, ppt, pptx, odt, ods, odp, accdb, mdb, m4a, mp4, grd, map, rar, gdb, dwg, zip, mp3, ppsx, mid, mov, xlsm, ai, xd, svg, indd, vsd, vsdx, mpp, mppx, potx, dotx, .dotx
